#1: Write your email template in a word processor
Fine-tune your messaging by writing up your own email in a word processor and then save it as a template in your email client. This is great for any kind of email that you want to send.
You can save these hand-written templates in your email client to easily access the next time you need a prewritten message.

How to create an email template in Gmail
First, you’ll need to enable templates in your settings. Go to Settings and click See all settings. At the top of the next page, click Advanced. Scroll down to the Templates section and select Enable. Click Save Changes at the bottom of the settings.
To create a template, compose a new email. Enter the content for your template into the email. Click the three-dot menu and go to Templates > Save draft as template > Save as new template.
To use your saved template, create a new message, click the three-dot menu, go to Templates, and insert your saved template.
How to create an email template in Outlook
Start a new email. Click the three-dot menu at the bottom of the email and click My Templates. Click +Template. Then add a title and the text for your message. Click Save.
To use your new template go back to My Templates to select your saved message.
If you are using an email marketing system like MailChimp, you can also add fun styles and pictures to your message to make it more engaging.
#2: Outsource your email template design
